Performances & Schedule

Performances

Performances are individual shows or events within a report (e.g. "Matinee", "Evening").

Creating a performance

  1. Open a report.
  2. Click Add Performance.
  3. Enter a label (e.g. "Matinee"), and optionally set a show time.
  4. Click Create.

To cap how many performances a report can have, set Maximum Performances Per Report in the show's Preferences. Once a report reaches the limit, Add Performance is hidden. The schedule also stops creating performances at the limit.

Editing a performance

  1. Click on the performance to edit its label, start time, end time, or show time.
  2. Save your changes.

Deleting a performance

  1. Click Delete on the performance and confirm.

Warning: Deleting a performance also removes all timings and report items scoped to it.

Performance Schedule

The performance schedule is a weekly template that automatically creates performances when you create a report on a matching day.

Setting up a schedule

  1. Go to Settings → Performance Schedule.
  2. For each day of the week, add one or more performance labels and times (e.g. Wednesday: "Matinee 14:30", "Evening 19:30").
  3. Save the schedule.

When you create a report for a Wednesday, the matinee and evening performances are pre-populated automatically.

Attendance & Sales

Recording attendance

  1. Open a report and go to a performance.
  2. Enter the attendance count in the Actual Attendance field.

Attendance types

Managers can split attendance into categories such as Pre Booked, Walk Up and Comp.

  1. Go to Settings → Attendance Types.
  2. Add a type for each category. Drag to change the order, or edit a name in place.
  3. In the report editor, each performance now shows one row per type. Enter a count for each, and Total Attendance is calculated by adding them up.

Adding your first type also creates a Sales Count type, marked Sales. It replaces the separate sales field: the performance's sales figure is the sum of every type marked Sales, and those types also count towards the total. Rename it (for example to Pre Booked), and click Sales on any other type that is also sold, such as Walk Up. Leave it off for types like Comp.

The total is what appears on the attendance dashboard, in CSV exports and in report PDFs, where each type also gets its own column.

Note: A total recorded before you added types is kept until you enter a count for any type on that performance; the total then becomes the sum of the types. Deleting a type removes its counts and recalculates the affected totals.

Viewing the attendance dashboard

  1. Go to the show's Attendance page.
  2. View charts and totals across the run.
  3. Click Export CSV to download the data.
